INTRODUCTION

At Technology Users Association of New Zealand (TUANZ), protecting your personal information is important to us, as is complying with the New Zealand Privacy Act 2020. This Privacy Policy explains how we collect, use, share, store and protect personal information across our activities — including when you visit our website, attend an event, engage with our communities, or interact with us as a member or supporter.

This policy should be read alongside any specific privacy notices we provide at the point of collection (for example, in an event registration form).

INFORMATION WE COLLECT 

We may collect personal information that is reasonably necessary for TUANZ’s activities and operations, including:

  • Identity and contact details — such as your name, email address, phone number, organisation/employer, role, and location.
  • Membership and participation information — such as membership status, areas of interest, event attendance, and community participation.
  • Communications — such as enquiries you send us, feedback, and responses to surveys.
  • Event and media information — such as photos and video recordings taken at TUANZ events.
  • Website and digital data — such as your IP address and information collected through analytics, security and spam-prevention tools.

Please do not provide personal information about someone else unless you have their permission and they are aware of this Privacy Policy.

HOW WE COLLECT YOUR INFORMATION

We collect personal information in three main ways:

  1. Directly from you — for example when you subscribe to newsletters or updates, register for an event or webinar, join a TUANZ community or apply for membership, contact us, respond to surveys, or provide feedback.
  2. Indirectly (from someone else) — for example from event partners or co-hosts (including where registrations are managed through a partner platform), contractors or service providers who support TUANZ activities, member organisations (including where a corporate member provides liaison contacts), and other lawful sources.
  3. From public sources — where information is publicly available (for example, an organisation website or public directory) and relevant to TUANZ’s activities.

INDIRECT COLLECTION OF PERSONAL INFORMATION

Where TUANZ collects your personal information indirectly (that is, from someone other than you), we will take reasonable steps to ensure you are aware of:

  • the fact that we have collected your personal information;
  • what information we have collected and the purpose for collecting it;
  • the intended recipients of the information (who we may share it with);
  • TUANZ’s name and contact details as the organisation collecting and holding the information;
  • whether the collection is authorised or required by law (and the specific law, where applicable); and
  • your rights to access and request correction of your personal information.

Where we hold an email address (which we usually do), TUANZ will generally provide this notification directly by email as soon as reasonably practicable after the indirect collection (for example, in a welcome email, event confirmation email, or a dedicated notice email), unless an exception applies.

The Privacy Act recognises there are exceptions to us making this notification in some circumstances (for example, where you have already been made aware of the required matters, or where the information is publicly available). Where we rely on an exception, we will do so only where it is appropriate under the law.

WHY WE USE YOUR PERSONAL INFORMATION

We use personal information for the purpose it was collected, including to:

  • Administer membership, communicate with members, and support TUANZ communities.
  • Represent the interests of TUANZ members and support TUANZ programmes and initiatives.
  • Manage registrations, attendance, logistics, and communications for events, webinars and learning activities.
  • Respond to enquiries, provide updates, and share news and information that may be relevant to you.
  • Maintain records, improve services, and support internal planning and reporting.
  • Meet legal obligations and manage risk.

Providing information is optional. However, if you do not provide key contact information, we may be unable to provide updates, respond to enquiries, process event registrations, or deliver membership services.

WHO WE SHARE PERSONAL INFORMATION WITH

We do not sell personal information. We may share personal information where necessary for TUANZ’s activities, including with:

  • Event partners and co-hosts (for example, to manage registrations, attendance, or event delivery).
  • Volunteers who support TUANZ communities and engagement (where relevant).
  • Contractors and service providers who help us operate (for example, IT, database, email distribution, event platforms, analytics, professional advisers).
  • Regulators or legal authorities where required by law or where necessary to protect rights and safety.

We take reasonable steps to ensure people and organisations we work with handle personal information appropriately.

WEBSITE ANALYTICS AND COOKIES

Our website may use analytics, security and spam-prevention tools that collect information such as IP address, device/browser information, and usage patterns. This helps us understand how our website is used, improve content, and keep systems secure.

STORAGE, SECURITY AND RETENTION

You have the right to request a copy of the personal information TUANZ holds about you and to request correction if you believe it is wrong.

If we cannot provide access due to a lawful reason, or we do not agree to a correction, we will explain why (and outline your options).

UPDATES TO THIS POLICY

We may update this Privacy Policy from time to time. If we do, we will post the updated version on our website. Unless stated otherwise, changes will apply from the date the updated policy is published.
